Uploading Manuals

Add your equipment manuals to the Knowledge Base so the AI can reference them during conversations.

Why Upload Manuals

When you upload manufacturer manuals, service guides, or specification documents, the AI processes and indexes their contents. This means your chat responses can draw on your actual documentation for model-specific procedures, wiring diagrams, and parts references.

How to Upload

Navigate to Knowledge Base from the sidebar.

Click 'Upload Documents' and select one or more PDF files.

Fill in the metadata fields: title, manufacturer, model, component types (select one or more), and an optional description. These help organize documents and improve search relevance.

Wait for the document status to progress from Pending to Indexing to Ready — the AI can reference the document's contents once it reaches Ready status. If processing fails, the status shows Failed.

Document Limits

The number of documents you can store depends on your Knowledge Base subscription. A progress indicator on the Knowledge Base screen shows your current usage versus your document limit. If you need more capacity, upgrade your Knowledge Base plan from the Billing section or directly from the Knowledge Base upgrade prompt.

Pro Tips
  • Use clear, text-based PDFs when possible — scanned documents work but OCR-friendly files produce better results.
  • Keep file names descriptive (e.g., 'Otis-Gen2-Maintenance-Manual.pdf') for easier searching.
  • Use consistent metadata across your team so everyone benefits from organized documentation.
  • There are per-file size limits and batch upload limits — if a file is too large, consider splitting it into sections.
